Executive Assistant
The Executive Assistant at Premier will report directly to Co-Founder & Managing Director and play a key role in the provision of agile and professional administrative services to the management team of Premier Consulting. Being conversant in the basic secretary routines and internal/external communications, you’re experienced in vendor management, resource sourcing, administrative finance, and organizational procedure. As a proactive pragmatist with a strong sense of responsibility, you’re equipped with multi-tasking, time management, problem-solving, and interpersonal abilities to ensure the smooth operation and coordination of all administrative tasks within our company.
Manage administrative work by the standard of Premiership:
- Provide general administrative support to the office, such as managing office supplies, equipment, and maintenance requests
- Maintain and manage the executive’s daily calendar, including scheduling appointments, meetings, and travel arrangements
- Organize and coordinate meetings, such as team meetings, training, conferences/seminars and corporate hospitality events, both in-person and virtual
- Onboard new employees, including setting up workstations and getting new employees connected with technical support
- Administer filing systems both manually and electronically
- Track, submit and process all corporate card and invoice expenses
Support executives’ reporting and contribute to the corporate intellectual assets:
- Create and update presentations, spreadsheets, and other forms of management reports and communications
- Compile data and conduct research to assist executives in decision-making processes
- Participate in practice and solution assets sediment in organization gestion for knowledge and knowledge building
Cultivate a cohesive and collaborative corporate culture:
- Contribute to creating an effective communication flow between executives, team members, clients, and other external parties
- Organize team-building events regularly to enhance meaningful and collaborative relationships
- Maintain a positive attitude and advocate supportive teamwork spirits
- Bachelor’s degree with excellent academic record
- 1+ years of working experience as an Executive Assistant, Personal Assistant or similar role
- Professional industry experience in consulting, luxury, real estate, wine & spirits, and technology industry is a plus
- Advanced knowledge of computers, internet and software (MS Office)
- Outstanding administrative, organizational, and research skills required
- Ability to work effectively in a fast-paced, deadline-driven environment, including prioritization skills, flexibility toward change, a sense of urgency, and dealing with ambiguity
- Outstanding communication and interpersonal skills to interact with management, employees, candidates, vendors and visitors
- Conscientious & autonomous in work pattern and highly self-motivated
- Savvy discernment, superb integrity and fairness in handling people and confidential information
- Excellence in verbal and written English and Chinese required
